JOB TITLE: Executive Loan Administrative Assistant

REPORTS TO: CEO and CLO

DEPARTMENT: Loan Administration LOCATION: Downtown Fort Worth

BASIC FUNCTION: Responsible for assisting loan officers with loan application, credit verification, documentation, closing and funding; providing administrative support to loan officers; and providing other services for loan and/or deposit customers.

JOB SPECIFICATIONS: High school education or equivalent is required. Must have a minimum of five years banking experience, including loan administration experience and preferably, new accounts or customer service experience. Skills should include typing, 10-key, and computers. Working knowledge of Microsoft software products is necessary. Good organizational, interpersonal, communications, the ability to balance several ongoing projects simultaneously and customer relations skills are required. Attention to detail and mental concentration are necessary for accurately performing tasks, working in a stressful environment, working under time constraints to meet immediate needs of servicing and corrections, and handling constant telephone and employee interruptions. Knowledge of general loan documentation, compliance laws and regulations, CD and IRA instruction, and Bank loan policies and procedures is essential.

SUPERVISORY DIMENSIONS: No supervisory responsibilities.

EXTERNAL CONTACTS: Frequent contact with customers and other banks, financial institutions, insurance companies, and government agencies.

INTERNAL CONTACTS: Frequent contact with all Bank personnel.

DECISION MAKING RESPONSIBILITIES: Determines specific documentation needed per loan requirements, i.e., credit search, lien searches, UCC filing, insurance requirements, all title work; may make NSF and check approval decisions.

KEY ACTIVITIES:

  1. 30% Performs loan functions to include:
    a. providing credit application to customers
    b. processing credit application
    c. handling closing and funding of loans
    d. ensuring all documents are signed and customer is given copy of loan
  2. 30% Maintains loan documentation to include:
    a. ensuring all documents are current and on file, including credit bureau, tax returns, insurance, and other required legal documents for commercial loans
    b. verifying all exceptions and sending to Credit Department
  3. 25% Performs administrative duties for loan officer to include:
    a. corresponding and faxing appropriate loan documentation
    b. coordinate social functions to be held at the Bank
    c. coordinate travel arrangements
    d. returning phone calls
    e. greeting customers
    f. assisting with non-post items
    g. creating all loan documents
    h. verifying that all exceptions for loans are up to date
  4. 15% Provides (some of the following) bank services to include:
    a. providing new account support:
    1. opening and closing accounts
    2. processing signature cards
    3. assisting with merchant services
    4. loading new accounts and ports
    5. providing direct deposit, safe deposit, and check order services
    b. providing service to customers:
    1. providing account balances
    2. providing account print outs
    3. making transfers between accounts
    4. assisting customers with wire transfers requests
    5. providing notary services
    6. making stop payments
    7. providing rate information
    8. answering customer calls
    9. making NSF decisions at officers instructions
    c. cross-selling bank products and services
    d. providing additional, or specialized (interim construction loan processing and funding), loan assistant duties
    e. other duties as assigned
